Your local organization in Autotask
For Autotask to work correctly, your local organization must have a record in your Autotask instance. The your local organization record has a number of special properties.
When your Autotask instance was set up, we created your local organization record for you and assigned it the organization ID0 (the numeral zero).
IMPORTANT The Organization ID is different from the Organization Number.
• Every organization in your Autotask instance has an automatically generated organization ID that cannot be edited. This ID appears in the Organization page heading, directly above the Organization Name.
• The Organization Number is an optional number identifier that you can add to the organization record. We recommend that if you use organization numbers in your Autotask instance, you assign the organization number 0 to your local organization. This can prevent confusion between your local organization and another organization with the organization number 0.
By default, your local organization has a number of special properties that preserve its integrity. Below is a list of things to remember about your local organization:
- Your local organization cannot be inactivated.
- Your local organization cannot be merged into another organization.
- Your local organization can have sub-organizations, but it cannot be a sub-organization.
- By default, the name and address of your local organization appear on your Autotask invoices. To update your return address on invoices, update your local organization record or edit the invoice template you are using.
- There are no special security permission requirements for your local organization. CRM security level permissions to view, edit, and delete organizations apply to your local organization. Your local organization can have an account team.
- Billable items that are associated with your local organization do not go to Approve and Post or Invoicing, so they never get posted, and remain on the > Reports > Contracts & Billing > Billing > Pre-Billing Detail (your local organization) report. No invoice can be created from billable items through the Won Quote Wizard, either. Time entries against Your local organization are always non-billable.
- No Estimated Revenue is displayed for recurring contracts for your local organization.
- The Tax ID field associated with your local organization record is not related to the Invoice Template variable "Your Organization: Tax ID, CAN, ABN, VAT, etc". You set the value for "Tax ID, CAN, ABN, VAT, etc." through a contract system setting. Refer to Contracts and billing system settings.
- Incoming Email Processing and Add Ticket Email Service (ATES) tickets get created for your local organization when there is no Autotask instance match for the email originator's address or domain.
The default organization type for your local organization is Customer. Changing this setting will limit the functionality of your local organization. If another organization type is selected, the following is true:
- You will not be able to create internal projects.
- You will not be able to create internal tickets, except from the Tickets tab of the Organization page.
NOTE This setting does not affect the default ticket creation rules of Incoming Email Processing.
